Thinking about organising a conference abroad?

By Lawana Lat

Cyprus: the ideal venue for your next conference

It's a fact that if you begin organising something well in advance you'll be much more prepared to deal with anything should it go wrong. By getting things started well in advance you'll be ready to face any issues along the way that could potentially mean an alteration to your plans. Add in further problems brought about by trying to set up something in a foreign country where you have to rely on someone who is hundreds of miles away to meet your requirements and you'll soon see that things can get quite stressful.

Dealing with problems from a distance

Imagine you were responsible for putting together a large conference somewhere in Europe; there needs to be excellent transport links to ensure that your venue can be reached from many destinations. Somewhere like Cyprus is ideal, thanks to its central location as well as temperate climate throughout the year that will make your conference feel less like work and more like a proper getaway. But how on earth do you make sure that everything is going to go as planned when you're only going to be onsite a day or two before the event begins?

First of all, choose a venue that specialises in providing excellent conference facilities such as one of the wonderful luxury hotels in Cyprus. A hotel that specialises in dealing with major events will be able to set any worries you may have to rest; most of the time they'll provide you with a single point of contact who you can deal with directly should a problem arise. They'll then be able to despatch their highly trained staff to remedy the issue immediately, leaving you free to concentrate on the needs and desires of your guests.

Planning and preparation to the smallest degree

In the early days of planning your event, working with a hotel means that organising accommodation for your guests couldn't be simpler, and the venue will also be able to sort out meals and entertainment in the evenings with a truly Cypriot style; ask for recommendations for local restaurants and tavernas too as some people will want to explore their surroundings. As the event approaches, things such as room layouts and break times should be finalised; don't be worried about asking for things like last minute copies of handouts to be made up for you - there will be staff on hand there to help you. When you know that the small stuff has been covered, the bigger picture will pretty much take care of itself.

Even though you're responsible for the conference, remember that you're not doing it on your own; the hotel staff are at your disposal to ensure everything goes as well as possible. They are experienced in guaranteeing that such conferences go smoothly so don't worry about putting your trust in their abilities. Who can say, maybe next time you'll get to enjoy the conference without having to organise the whole thing, but for the moment you should put your faith in planning in great detail to help you remain calm.
